TASKS

  • Correspondence and word processing, preparation of presentation documents, minutes and general documentation, compilation and forwarding of documents, proofreading of specialist texts, also in English
  • Independent management of the secretariat including organizational tasks (especially telephone service, appointment coordination, incoming and outgoing mail, preparation and accounting of business trips) in German and English
  • Conference organization and preparation of invoices in compliance with travel expense regulations
  • Writing work based on templates and dictation (including legal texts)
  • Preparation of personnel-related processes (tendering procedures, recruitment applications)
  • Editing of prefabricated documents (including legal texts)
  • administrative and study organizational tasks (room and teaching planning)
  • Follow-up of study results and entry of examination results in AlmaWeb
  • Management and review of allocated budget funds; handling of procurement matters
  • maintenance of the professorship’s homepage
  • Maintenance of a literature and knowledge database, preferably with the program Citavi

WE ARE LOOKING FOR

  • relevant professional qualification or at least equivalent relevant qualification
  • stylistically confident use of the German language
  • excellent English skills (language level C1) and experience in handling correspondence in English
  • Very good knowledge and confident use of common office programs (MS Office [Word, Outlook, Excel, PowerPoint] and Internet applications as well as Internet research
  • Knowledge of university-internal administrative processes is an advantage
  • Experience in using AlmaWeb desirable
  • Knowledge of university-internal budgeting and procurement desirable
  • Basic knowledge of travel expense law desirable
  • independent, reliable and structured way of working
  • organizational skills, ability to work in a team, flexibility and a high degree of independence
