Job description

With your contribution, you ensure that the daily operations of the department run effectively and efficiently. You have an executive role in this. You also have a broad and varied range of tasks that include: 

  • Managing the agenda for professors and scheduling complex meetings and gatherings;
  • Organizing, preparing and reporting on meetings and monitoring the implementation of agreements made and decisions taken;
  • Post, correspondence and archiving;
  • The administrative processing of declarations;
  • Monitoring and executing processes for employees who join or leave the company;
  • Coordination and organization of meetings or events and contributing to the substantive preparation;
  • Act as the first point of contact for questions from employees and external parties and answer these questions or refer them as well as ensure adequate and timely handling thereof.

 

Job requirements

You recognize priorities, can switch between different activities without losing the overview, you are cheerful, hospitable and flexible and you are able to work both independently and in a team and you have a great learning ability. In addition:

  • Do you have at least an MBO+ work and thinking level;
  • Do you have an excellent command of the Dutch and English language, both spoken and written;
  • Do you have experience with MS Office and can you easily learn other (administrative) systems;
  • Are you able to prioritize and complete tasks in a timely manner;
  • Are you reliable, discreet, flexible and accurate;
  • Are you service-oriented;
  • Is experience in a dynamic and complex environment such as a university an advantage;
  • Are you available on Fridays in any case. Other working days in consultation.

 

What does UM offer?
As a Management Assistant at the  Faculty of Health, Medicine and Life Sciences,  you will be employed by the most international university in the Netherlands in beautiful Maastricht. We also offer you:

  • Good employment conditions. The position is classified in scale 6 or 7 in accordance with the UFO profile Management/Office Assistant with a corresponding salary scale based on education and experience between € 2,872.00 and € 3,809.00 gross per month (based on a full-time employment contract of 38 hours per week). In addition to the monthly salary, an 8.0% holiday allowance and an 8.3% end-of-year bonus apply.
  • An employment contract for a period of 12 months with a size of 0.6 – 0.8 FTE. If the candidate proves to be suitable, the employment contract will be converted into an employment contract for an indefinite period.
  • At Maastricht University, the well-being of our employees is a top priority. We therefore have flexible working hours and the option to work partly from home if the nature of your position allows this. For this, you will receive a monthly home-working and internet allowance. If you come to work for us full-time, you are entitled to 29 vacation days and 4 additional public holidays each year, namely Carnival Monday, Carnival Tuesday, Good Friday and Liberation Day. If you make use of the option to build up compensation hours, you will be added with another 12 days. In addition, you can personalize your employment conditions using a collective labor agreement choice model.

Faculty of Health, Medicine and Life Sciences (FHML)  
The Faculty of Health, Medicine and Life Sciences (FHML) is all about healthy living. Our research and education are not only focused on recovery but also strongly focus on prevention, maintaining health and promoting health. We aim to use our knowledge and expertise to actually ensure healthy lives for individuals and society as a whole. In education, research and care, the FHML is strongly connected to the Maastricht University Hospital, with which it forms the Maastricht University Medical Center (MUMC+). 

The FHML is formed by an (inter)national community of employees and students and is the largest faculty of Maastricht University.
