What we want
The Inventory and Property Control Coordinator I will provide broad inventory services to the VMTH. A successful inventory manager will maintain hospital inventory of all supplies, work to oversee ordering and receiving processes and maintain accurate counts and records of all products. This person will act as the liaison between the clinical services, purchasing, pharmacy, and receiving to ensure that products are maintained at appropriate levels, stored in operating conditions and available based on supply and demand. The inventory manager will work with the appropriate software to maintain par levels, pricing, and ordering information. This person will also be responsible for scheduling semi-annual inventory as well semi-regular formulary review and inventory audits as appropriate. The successful candidates will coordinate with end users in product selection and changes in formulary when necessary. The inventory manager will be responsible for (or overseeing) ordering and receiving and reconciliation of orders. This person will help organize the physical storage and selling of supplies to services to optimize space and efficiency. This person will supervise the Inventory and Property Control Coordinator(s) I and ensure that all orders for the hospital are placed proficiently and efficiently and follow all State rules and regulations.

Pay: $20 – $25 an hour

Qualifications
Required Education and Experience
- Bachelor’s degree in applicable field or equivalent combination of education and experience.
- One year of related experience in one or all the following: inventory or warehouse management, hospital inventory operations.
Required Special Knowledge, Skills, and Abilities
- Ability to multitask and work cooperatively with others.
- Excellent verbal and written communication skills.
- Strong supervisory, management, and interpersonal skills.
- Ability to work in a complex environment with State rules and regulations and apply rules to purchases and payment transactions.
- General knowledge of inventory verification and valuation methods, procuring and receiving.
Preferred Qualifications
- 3 years of related experience in business, accounting, purchasing, or inventory control.
- Strong supervisory, management and interpersonal skills.
- Inventory Management Certification.
- Knowledge of word processing and spreadsheet applications.
Responsibilities
Inventory process coordination
- Oversees and maintains hospital inventory of all supplies, coordinating the purchasing and receiving processes, and maintaining accurate counts of all products.
- Signs inventory certifications.
- Monitors and assures inventory levels meet demand by tracking usage & setting inventory levels in support of appropriate PAR levels conducive to hospital function.
- Design and implement procedures to mitigate loss; limit excess, outdated and slow-moving inventory; and improve processes. Implement a notification system upon delivery of rush/overnight orders.
- Oversee the distribution of medical supplies to requesting departments.
- Oversee accuracy in shipments going out or coming in and manages all documentation of received goods. Efficiently uses warehouse space.
- Ensures supply chain areas are organized and maintained, including regular cleaning and labeling.
- Schedules and performs audits on departmental inventories.
Supervising and Training
- Responsible for hiring, training, and evaluating assigned employees.
- Monitors schedules and workloads of staff to maximize utilization of employees and equipment. Conducts training for new central supply staff. (This currently includes Pharmacy and Central Receiving personnel).
- Updates instruction and procedure manuals regarding inventory.
- Attends training and workshops as required.
Inventory formulary review
- Compile inventory reports and forecast inventory requirements by monitoring supply shortages. Act as a liaison between clinical supervisors and supply chain to set PAR levels and communicate any backorders, delays, damaged items etc.
- Resolves customer service issues and answers questions of those needing assistance.
- Will meet with the hospital service departments regularly to ensure proper supplies and pars are maintained.
Reporting
- Prepares and updates various and applicable inventory reports. Ensures compliance with Federal, State, and Texas A&M University System (TAMUS) guidelines governing property, inventory, and related activities.
