Your role

As a Team Coordinator within the new Facility Management structure, your mission will be to coordinate, organize, and optimize your team’s daily activities to ensure efficient and high-quality service. You will collaborate with the university’s various stakeholders to ensure the proper management of infrastructure and associated services. You will report directly to the Facility Management Operations team.

Your main responsibilities include:

  • Coordinate and plan the operational activities of a site (Luxembourg or Belval) in accordance with the directives of the department manager
  • Supervise and manage a team of permanent and temporary employees
  • Implementation of a SPOC methodology on the site
  • Ensure the monitoring and implementation of infrastructure management procedures and standards together with central functions
  • Collaborate with internal stakeholders to ensure the successful execution of projects and adaptation to the needs of the university
  • Monitoring and developing a budget
  • Contribute to process optimization and continuous improvement of services / quality monitoring
  • Ensure regular reporting on project progress, performance and corrective actions implemented
  • Actively participate in the implementation and monitoring of performance indicators
  • Manage documentation and administration of data relating to the department’s activities
  • Contribute to the development and implementation of new tools and working methods
  • Promote communication and knowledge sharing within the team
  • Coordinate the implementation of services on the various sites, including maintenance, upkeep of technical installations and user services
  • Identify and analyze technical issues, then implement appropriate solutions in consultation with the teams
  • Ensure supervision of user requests
  • Implementation and monitoring of contracts and framework agreements
  • Participation in on-call service is required.
Your profile
  • Bachelor’s degree in management, administration or relevant field, or equivalent experience / Master’s degree in civil engineering or facility management or equivalent
  • Minimum 4 years of professional experience in a coordination or team management position
  • Experience in an infrastructure management or facility management environment is an asset
  • Ability to coordinate a team and ensure effective management of activities
  • Organizational skills, rigor and the ability to manage multiple priorities in parallel
  • Good command of IT tools and management systems
  • Excellent communication and teamwork skills
  • Fluency in English (minimum B2 level) and French (minimum C1 level), knowledge of German and/or Luxembourgish is an asset
